ERP Tohama Co., Ltd. (“ERP Tohama”, “we”) operates Recruiter and is the controller of the personal information described here. Our address is Britam Towers, 24th Floor, Hospital Road, Upper Hill, P.O. Box 12295-00100, Nairobi, Kenya.

This policy is written with the Kenya Data Protection Act, 2019 in mind. Where you are in another country, we also respect the data protection rules that apply to you.

Information you give us: your name, email, phone number, country, type of recruiter and speciality when you apply; documents and details we ask for during verification; and anything you send us through forms.

Information created when you use Recruiter: login and activity records, device and browser information, and the actions you take on the platform.

Candidate and employer information that the platform makes available to authorized recruiters. This is covered by our rules for authorized use and by the Information Security Policy.

To review your application and contact you; to verify your identity and professional standing; to give you access and run your account; to match opportunities and candidates; to keep Recruiter secure and prevent misuse; to meet legal obligations; and to improve our services.

We process information to take steps you ask for (such as handling your application), to perform our agreement with you, to meet legal duties, for our legitimate interests in running a safe and reliable platform, and, where needed, with your consent.

Recruiter uses AI to suggest matches between opportunities and verified candidates. People make the decisions: recruiters review suggestions and employers make final hiring decisions. We do not use matching suggestions as automatic final decisions about people.

We share information only where it is needed: with the ERP Tohama group companies that run the connected platforms; with service providers who host or support our systems under confidentiality and security obligations; with employers and recruiters through authorized workflows; and with authorities where the law requires it. We do not sell your personal information.

Our systems and partners may be in different countries. When information leaves your country, we use appropriate safeguards and follow the rules that apply to such transfers.

We keep information only as long as it is needed for the purposes above or as the law requires. Application details are kept while your application and account are active, then deleted or anonymized unless we must retain them for legal or contractual reasons. See Account and Data Deletion.

We use access controls, encryption in transit, secure credential delivery, mandatory security training for recruiters and monitoring. No system is perfect, so if we ever find a breach that affects you we will act quickly and tell you and the authorities as the law requires. Please read our Information Security Policy for more.

You may ask to see the personal information we hold about you, correct it, delete it, restrict or object to certain use, and receive a copy in a common format. Where we rely on consent, you can withdraw it at any time. To make a request, contact us as shown below. You may also complain to the Office of the Data Protection Commissioner in Kenya, or to the regulator where you live.
